School settings

Who can do this: Administrator

A few settings apply to your whole school. They all live on your own account page: open the account menu (your name or photo) and choose My Account. Only administrators can change them. Everyone else sees the grade levels and currency read-only.

Grade levels

PinkTower knows twelve grades, in two sets:

Set Grades
Preschool, nursery and primary Preschool, Nursery, Primary 1, Primary 2, Primary 3, Primary 4, Primary 5, Primary 6
Montessori Infant and Toddler, Children's House, Lower Elementary, Upper Elementary

You choose the grades your school actually runs. Only those grades appear anywhere in the app: when you create a class, enrol a child, set a fee, list required documents, build supply lists or add a calendar event for a grade. You can run grades from both sets, for example Montessori early years with a traditional primary school.

If you never choose, your school runs the first set of eight.

To choose your grades:

  1. Open My Account.
  2. Under Preferences, find Grade levels.
  3. Click a grade to turn it on or off.

Each click saves straight away; there is no Save button. If a change cannot be saved, the grade switches back and a message says so. You cannot turn every grade off, because a school with no grades cannot create a class, set a fee or enrol a child.

The welcome tour also asks Which grades does your centre run? as one of its first steps. That is the same setting.

Turning a grade off does not break its classes

A class in a grade you no longer run keeps working and can still be renamed. You just cannot create a new class in that grade, or move a class into it.

Year-round grades

Preschool and its Montessori equivalent, Infant and Toddler, run all year and do not break up for terms. They are billed every month and never appear in a term. Every other grade follows your terms and is billed once a term. See How billing works.

Display currency

Display currency, under Preferences, sets how amounts are shown across the app, on the dashboard, billing pages and receipts, for everyone at your school. Other people pick up a change the next time they sign in.

Set this before you enter any fee amounts

Fee amounts are saved in the display currency, and can only be Nigerian Naira, US Dollar, British Pound or Euro. If the display currency is anything else, saving a fee amount is refused. Parents can only pay fees online when they are in naira.

School contact details

School contact tells PinkTower support how to reach your school, for example about your subscription. It is shown to PinkTower only, never to parents or staff, and is separate from the personal details on your own profile. A phone number is the most useful thing to give.

  1. Open My Account and scroll to School contact.
  2. Enter the Contact person and Their role.
  3. Enter the School phone number in international format, starting with +, for example +2348012345678. A number without the country code is refused.
  4. Enter the School email and, if you have one, the Website.
  5. Fill in the School address, if you want to. Once you start an address, it needs at least line 1, a city and a country. The state and postal code are optional.
  6. Press Save contact details.

The address you gave when you registered is filled in to begin with.

You can update this even when your school is read-only

If your subscription has lapsed, most changes are paused, but you can still save your school contact details. That is when PinkTower most needs to reach you. See Overdue and read-only.

The details printed on PinkTower's invoices to your school are kept separately. To change those, contact PinkTower support.

Your signed school agreement

When you registered, you signed the agreement between PinkTower and your school. A copy is kept, unchanged, with your school's account.

  1. Open My Account and scroll to School agreement.
  2. Check the version, who signed it and when.
  3. Press Download signed copy.

Any administrator can download it. If your school was set up before signing was introduced, you see No signed agreement on file.

The Order Forms you sign when you subscribe are kept on the Subscription page instead. See Invoices.
