Create classes

Who can do this: Administrator Teacher

A class is where children are enrolled and teachers are assigned. Which class a teacher is assigned to decides which children they work with everywhere else: attendance, pickups, messages, stories, photos and supplies.

Every class has a name and a grade level. The grade decides which fees the children in it pay. You can run several classes in one grade: "Primary 3 Blue" and "Primary 3 Gold" can both be in Primary 3 and share its fees.

Administrators create, edit and delete classes. Teachers see only their own class, and can add and remove its students.

Create a class

  1. Open Classes in the sidebar.
  2. Press New class.
  3. Enter a Class name and choose a Grade level. Both are required.
  4. Under Teachers (optional), tick the teachers for this class.
  5. Press Create class.

The grade list shows only the grades your school runs. To change those, see School settings.

One class per teacher

A teacher can be assigned to one class at a time. A teacher who already has a class is greyed out, with Teaching and their class name beside them. To move them, take them off their current class first. A class can still have more than one teacher, such as a lead teacher and an assistant.

Edit a class or change its teachers

  1. Open Classes.
  2. Open the Class options menu (⋮) on the class card and choose Edit. Or open the class and press Edit class.
  3. Change the name, grade or teachers.
  4. Press Save changes.

You can filter the class list by grade with All grades.

Enrol and remove students

  1. Open Classes and open the class.
  2. Press Add student.
  3. Search for the child by name.
  4. Press Add beside them.

To take a child out of the class, press the bin icon on their row, then Remove. They no longer appear in this class's attendance.

  1. Open Classes and open your class.
  2. Press Add student.
  3. Search for the child by name.
  4. Press Add beside them.

To take a child out of your class, press the bin icon on their row, then Remove.

The child must already exist in PinkTower. Administrators create students; see Add students and guardians.

A child is in one class at a time

Adding a child who is already in another class moves them into this one.

Enrolling and removing affects fees

Enrolling a child starts billing them. They are charged straight away for the month or term in progress, using the fee amounts set for their grade. See How billing works.

Removing a child, or moving them to another class, cancels any of their fees that are still wholly unpaid. Fees with something already paid are kept. Check what a family owes before moving a child part-way through a term. To record a child leaving the school, use When a child leaves instead, which asks what to do with what they owe.

Delete a class

  1. Take every teacher off the class and remove every student.
  2. Open Classes and open the menu on the class card (⋮).
  3. Choose Delete.
  4. Press Delete class.

Until the class is empty, the confirmation tells you how many teachers or students are still in it and the button cannot be pressed. A teacher you have deleted no longer counts; a suspended teacher still does.

Deleting a class cannot be undone

The class is removed for good. Its records, such as attendance and fees, are tidied up automatically.

Moving everyone up at the end of the year

At the end of the school year, do not move children one by one. Use Year-end promotion, which moves every class up at once and does not cancel what anyone owes.
